We handle two kinds of personal information: data about people who contact us, and data about our clientsโ customers that we process on their behalf. This policy explains both.
1. Who we are
This privacy policy explains how Verdeship Ecommerce Pvt Ltd ("Verdeship", "we", "us") collects, uses, stores and protects personal information. We are a company registered in India, CIN U47912GJ2024PTC150170, with our registered office at 129, ACOHS, Ahmedabad 380026, Gujarat, India.
We provide WhatsApp Business API setup, AI chatbot development, conversation automation, CRM integration, and search visibility services including SEO, local SEO, AEO, GEO and voice search optimisation.
This policy applies to verdeship.com and to the services we deliver to our clients.
2. The information we collect
When you visit our website. Pages viewed, approximate location derived from IP address, browser and device type, referring source, and interaction data collected through cookies and analytics.
When you contact us. Through our contact form, Free Audit form, WhatsApp, email or telephone we collect your name, business name, email address, phone number, and whatever you choose to tell us about your requirements.
When you become a client. Business registration details, documentation required for Meta business verification, billing details, platform credentials you choose to share with us, and records of our correspondence.
End-customer data we handle for clients. When we build and operate WhatsApp automation for a client, we necessarily handle information about that clientโs own customers, including phone numbers, names, conversation content, order or appointment details, and any information those customers provide in a chat.
3. When we are a controller and when we are a processor
This distinction matters, so we state it plainly.
We are the data controller for information about our own website visitors, enquirers and clients. We decide why and how that information is used, and this policy governs it.
We are a data processor for the end-customer data described above. That information belongs to our client, who is the controller. We handle it only on their documented instructions, for the purpose of delivering the service they engaged us for. We do not use it for our own purposes, we do not sell it, and we do not use it to market to those individuals.
If you are the customer of a business that uses Verdeship-built automation and you want your data accessed, corrected or deleted, please contact that business directly. If you contact us, we will pass the request to them and support them in fulfilling it.
4. How we use your information
We use information we hold as a controller to respond to enquiries and provide quotes, deliver and support the services you have engaged us for, handle billing and maintain financial records, send service updates and, where you have agreed, marketing communications, improve our website and services, and meet legal and regulatory obligations.
We do not sell, rent or trade personal information to anyone.
5. WhatsApp and Meta processing
Our services depend on the WhatsApp Business Platform operated by Meta. When we set up or run WhatsApp messaging for a client, message content and phone numbers are transmitted through and stored on Metaโs infrastructure, and Metaโs own terms and privacy policies apply to that processing in addition to ours.
Business verification requires us to submit client business documentation to Meta. Approval decisions, including green tick verification, messaging limits and template approval, are made by Meta and are outside our control.
Meta charges per conversation. Those charges are passed through to clients at cost and appear as a separate line; we do not mark them up.
6. Chatbot conversations and AI
AI chatbots we build are trained on material the client supplies about their own business, such as service lists, pricing rules, policies and frequently asked questions.
Conversation logs are retained so the client can review enquiries and so we can improve accuracy. We may review conversations that the bot handled poorly in order to retrain it for that client.
We do not use one clientโs conversation data to train another clientโs chatbot, and we do not contribute client or end-customer conversation data to public or third-party AI training datasets.
7. Cookies and analytics
We use cookies and similar technologies to keep the site working, understand how it is used, and measure the performance of our marketing.
Analytics cookies are set by third-party providers and record data such as pages viewed, time on page and traffic source. You can block or delete cookies through your browser settings; essential cookies are required for the site to function correctly.
8. Payments
Payments are handled by third-party payment providers and banks. We receive confirmation of payment and retain invoices and transaction records for accounting and tax purposes.
We do not collect or store complete card numbers, CVV codes or banking passwords on our systems.
9. Service providers we share information with
We share information only where necessary to deliver our services, with providers including website and email hosting and cloud infrastructure, Meta and the WhatsApp Business Platform, analytics providers, payment processors and banks, CRM and business software where a client has asked us to integrate it, and our professional advisers.
These providers are permitted to use the information only to perform the service we have engaged them for. We may also disclose information where required by law, court order or a lawful request from a public authority.
10. Where information is stored
Our primary infrastructure is located in India. Some service providers, including Meta and certain analytics and cloud providers, process data on servers outside India. Where information is transferred outside India, we take reasonable steps to ensure it remains protected to a comparable standard.
11. How long we keep information
Enquiries that do not become clients: up to 24 months, then deleted.
Client records and correspondence: for the duration of the engagement and for 3 years afterwards.
Invoices and financial records: 8 years, as required under Indian tax and company law.
End-customer data processed for a client: for as long as the client instructs. On termination we return or delete it at the clientโs direction, subject to any legal retention requirement.
Website analytics: up to 26 months.
12. Security
We apply access controls, encryption in transit, restricted credential handling and staff confidentiality obligations to protect the information we hold. Access to client systems is limited to team members who need it to deliver the work.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach occurs that is likely to affect your rights, we will notify you and the relevant authority as required under Indian law.
13. Your rights
Under the Digital Personal Data Protection Act 2023 you have the right to obtain confirmation of what personal data we hold about you and a summary of how it is processed, to have inaccurate or incomplete data corrected or updated, to have your personal data erased where we no longer have a lawful reason to keep it, to nominate another individual to exercise these rights on your behalf, and to withdraw consent where our processing relies on consent.
To exercise any of these, email hello@verdeship.com with enough detail for us to identify you. We will respond within a reasonable period and in any event within the timeframes required by law. We may need to verify your identity before acting.
14. Marketing communications
We send marketing communications only where you have given consent or are an existing client and the message relates to services similar to those we already provide to you.
Every marketing email contains an unsubscribe link. You can opt out of WhatsApp messages by replying STOP, or by emailing us. Opting out of marketing does not stop essential service communications such as invoices or delivery updates.
15. Children
Our services are provided to businesses and are not directed at children. We do not knowingly collect personal data of anyone under 18. If you believe a childโs data has been provided to us, contact us and we will delete it.
16. Changes to this policy
We may update this policy as our services or legal obligations change. The current version is always published on this page with the date it last changed. Material changes affecting clients will be communicated directly.
